Notification of receipt of research proposal:
When research proposals are received by the IACUC Sponsored Research Analyst (SRA), either via electronic submission or photocopy submission, confirmation of receipt will be e-mailed to PIs. These e-mail notifications will include the PIs name, the title of the proposal, the IACUC protocol number the PI indicated will be associated with the proposal, and the proposal deadline submission date.

Notification of receipt of “Request for Research Proposal/IACUC Protocol Review”:
When the SRA receives a Request for Research Proposal/IACUC Protocol Review from the PI (either via electronic submission or photocopy submission) confirmation of receipt will be emailed. Email notifications will include the PIs name, the title of the proposal, the IACUC protocol number the PI indicated will be associated with the proposal, and the proposal deadline submission date.

PIs can expect any questions or clarifications regarding their submitted proposals within 10 working days of the SRA receiving the Request for Research Proposal/IACUC Protocol Review” form.

If a protocol modification is necessary in order to make both protocol and proposal congruent, the SRA will work with PIs to incorporate any changes necessary into the approved IACUC protocol. Whenever possible, the designated member review process that is already in place within the IACUC for facilitating review will be used. Please note that research cannot begin on portions of the project requiring protocol modification until the modification has been approved by the IACUC.

When a proposal is approved by the SRA, PIs will receive an electronic copy of the approval letter with e-signature for their records along with a signed hardcopy via campus mail. The title of the research proposal and the approval date will be entered into the IACUC database notifying grants and contracts that the required review and IACUC approval have been completed prior to award set-up.

The take home message:

PIs will be notified the SRA has received and archived the research proposal for later review.
PIs will be notified that the SRA has received the Request for Research Proposal/IACUC Protocol Review.
PIs will be notified that the review of the proposal has been completed and approved or that proposal review is completed and modification to the existing protocol is required for approval. Once any required modifications are complete, the PI and grants and contracts are notified of approval of the proposal.
Research cannot begin on portions of the project requiring protocol modification until the modification has been approved by the IACUC.
